Job Description

Elevate’s Customer, a Leading Global Payments Company, is looking for an eBilling Administrator to work full-time at its offices. 

Specifically you will:

  • Provide Day-to-day management of Legal Department’s eBilling system, including serving as internal owner of the system.
  • Provide exceptional eBilling support to the Legal Department.
  • Serve as primary point of contact for law firms with billing inquiries. 
  • Interact independently with attorneys, administrative assistants, outside counsel and vendors to answer questions concerning invoicing/status, retention guidelines and to resolve any invoice issues. 
  • Perform first-line review of invoices for compliance with billing guidelines; conduct periodic invoice audits.
  • Become an expert in eBilling system.  Train/assist department members on the e-billing system and processes.
  • Drive collection of forecast and accrual data (both from internal legal team as well as law firms/vendors) in support of monthly forecasting exercise with Finance. 
  • Generate invoice aging report on a monthly basis and follow up with department members regarding past due unapproved invoices. 
  • Partner with Accounts Payable and Tax departments to resolve payment issues. 
  • Maintain and update eBilling reference guides and educational tools that support the eBilling solution. 
  • Proactively seek ways to improve current process to maximize productivity, workflow, and maximize efficiency in all aspects of the eBilling function. 
  • Provide project support, reports and analysis as requested by the Director of Legal Operations (e.g. global law firm consolidation exercise). 
  • Special projects as assigned. 
  • Partner closely with Law Firm Relations Manager on such things as development/execution of new hire training on outside counsel management philosophy, implementation of alternative fee arrangements within eBilling tool for tracking/auditability, rate/spend trends and analytics to assist with law firm negotiations. 
  • Onboarding of firms, review and approval of timekeeper rates.

Experience:

  • At least 5 years of total work experiences in Legal billing environment, with minimum of two years in law firm billing department.
  • Prior experience with eBilling administration a must. 
  • Familiarity with billing/accounting processes required.
  • Experience auditing outside counsel invoices preferred.
  • Experience working with large in-house legal team preferred

Qualifications:

  • Bachelor's degree.
